What is Workday?

Workday is a modern, cloud-based solution that addresses the college’s HR, payroll and financial needs. It will unify and simplify business processes that require multiple, separate systems and eliminate redundant data entry.

Why are we changing?

One of Hinds CC’s strategic initiatives is to become a more dynamic and agile institution. Implementing Workday will help us achieve this goal by modernizing daily business activity. Employees will be able to spend their time more productively rather than simply performing manual transactions.

What are the benefits?

Workday allows employees 24/7 secure access to the College’s information. Employees and managers can easily access information from any computer or mobile device with internet access. Workday also provides real-time data at your fingertips.

What are the benefits for me?

Workday will simplify routine tasks such as employee recruiting and onboarding, travel reimbursements, purchasing, budget transfers, and fixed assets.

When will I receive training?

Workday will touch all employees. Training will begin late spring of 2020 to align with our go live date of July 1. Communication about training opportunities will be announced in District Digest and posted on this website.

Benefits

Will we still be able to speak with a representative during open enrollment?

Yes. The representatives from the external providers will be available during open enrollment.

Will new hire orientation sessions be conducted in HR or on the worksite?

New Hire Orientation will be available online.

Can you change beneficiaries at any time?

Yes. You can make changes to beneficiaries in Workday at any time.

If we are not making any changes will we have to do anything during open enrollment?

No. However, you are encouraged to check your benefits to confirm they are correct.

What if we want to stop a benefit?

If you have a qulaifying life event (birth, adoption, death, divorce, etc…) you can make changes.

During open enrollment we had options to add other benefits like Aflac. How will that work going forward?

During open enrollment you will still have those opportunities online. You will be able to contact representatives to discuss your options.

Will new employee orientation be available 24/7 or only during certain times? Can they start work before completing orientation?

We will continue to schedule orientation classes as needed. New employees must complete orientation before they begin working.

Finance

Will we still use colleague to check BO balances and receive PO’s?

After July 1, 2020 you will use Workday to check balances and receive PO’s. Colleague will only be used for student data.

Where would I go to find my different budgets?

There are two reports for a Cost Center Manager to access budgets:

  1. Budget vs Actual Summary HCR;
  2. Budget vs Actual Detail HCR. Videos will be posted soon to demonstrate.
Does the money still pull from 7010 and 8010?

No, one budget line will exist for “Operating Expenses” per a cost center. The legacy Colleague object codes of 7XXX and 8XXX will be the spend categories that will reduce the “Operating Expense” budget

Who will have access to my budgets?

Cost Center Managers will have access to view budgets for their assigned cost centers. To find your assigned cost centers if you are a Cost Center Manager, you can enter your name in the search field and select the option that has “CCHM” in front of your name and “Cost Center Hierarchy” at the end of your name. You will see a list of your assigned cost centers on the details tab under includes.

Will I be able to transfer from one to the other?

A budget amendment will allow a budget transfer from one Cost Center to another if need. Videos will be posted soon to demonstrate.

General

What devices can I use to access Workday?

Workday can be accessed from a PC, Mac, tablet or smartphone (Apple or Android devices) with an active and secure internet connection.

Will my personal information be secure?

Yes. Protecting the security and privacy of personal data is a priority for Workday. Security threats and risks are mitigated through strong internal controls and a comprehensive security program designed to ensure the protection and integrity of personal data. Workday consistently passes rigorous third-party compliance audits.

Will we still use Colleague?

Yes, for student records.

Will Workday change how we use Canvas?

No.

Does Workday impact everyone at Hinds?

Yes.

If I am unable to attend a live session of the Workday Roadshow, will there be an opportunity to view a recording?

Yes. Recorded webinars are available on the Webinars page.

Will everyone have the same homepage view in Workday?

No; widgets/worklets will be different depending on your role.

Is Workday always available?

Yes.

Will Workday have version updates and if so, will there be a downtime associated with these?

Yes, bi-annually updates; downtime will not impact us.

When can I practice?

Go live is scheduled for 7/1. Testing will begin for end users May/June.

If we’re not on the HCC network, will we have to access WorkDay through FortiClient?

Yes.

There should be a comment section on the survey?

That’s a good suggestion. Unfortunately, Zoom Polls do not currently provide that feature. Workday-related comments can be emailed to workday@hindscc.edu.

Human Resources

Will the titles of the employees be included on the organizational charts or only names?

Yes. The organization charts will include titles.

Will People Admin still be used?

No. We will not be using People Admin after July 1.

If my title is not correct is there a way to change it?

Yes. For job title corrections you will need to contact HR.

Invoicing

Can you send invoices to customers straight from Workday?

Yes

Mobile App

Can we add Workday to multiple devices?

Yes

What is our organization ID?

You will be able to access the organization ID QR code through your Workday homepage. You will go to “My Account” and choose Organization ID.

After July 1, will there be communications sent out about the app?

Yes. Also, you can view the webinar at Workday@hindscc.edu in Resources.

How will we clock in with the mobile app?

You will need to be on your campus, in your work area, and on the Hinds secure network to be able to clock in from the mobile app. Once you are on the secure network you will login to the mobile app and clock in.

Can you use all applications remotely with the mobile app?

Other than actually clocking in/out, yes. You will have access to your Workday account with the mobile app.

New Customer

Who all will enter new customers?

The same people who currently enter new customers will continue to handle the process

Are new customers the same thing as new vendors?

No. New customers are paying Hinds for a service.

Do customer contracts replace blanket orders for RJ Young, copier rental?

No. You will continue to create a BO for RJ Young

Will current customers already be in Workday?

Yes. If we have done business with them in the last year they will be listed in Workday.

P Card

Will I need to let my supervisor or approving authority know when I submit a request?

Not necessarily. Workday will send them a message to approve the request.

Will any type of picture of the recipt be accepted?

Yes. You can send a PDF or picture from your cell phone. However, you will want to keep the original in your files.

If I make a mistake will I get a notification in Outlook?

No, you will receive all messages in Workday.

Payroll

Will our current deductions roll over to Workday or will we need to enter this information

Yes, your current information will be in Workday. However, you should verify that the information is correct.

If we need to make changes will we complete a W-4 form and turn it in to HR?

No, you will not need to complete a W-4 form. You can make those changes in Workday.

Will notifications come to our Outlook?

Yes. You will receive a notification in Outlook if you have something in your Workday Inbox.

How will Kronos users access Workday if they don’t have a computer?

All employees will ue Workday for Time Keeping. Computers are available in the Media Center and Library on each campus. You may also use your mobile device.

If we retire, how will we get W-2 information for taxes?

If you leave HInds or retire you will need to contact HR to get a copy of your W-2 for taxes.

If someone doesn’t have access to a computer, will there be one in HR?

Yes. There will be one in HR. You can also use computers in the Media Center.

Purchasing

How will we check balances of PO’s?

You will be able to view the purchase order in Workday and see the balance.

Will inbox items show up in Outlook?

Yes. You will receive a notification in Outlook if you have something in your Workday Inbox.

Will Hinds Warehouse and Bookstores be available in the catalogs?

No. At this time we will not have access to them in the Workday catalog.

What if we cost share purchases from different cost centers?

You will have the capability to split costs in Workday.

How will we add a new vendor?

Vendors will be added using the same process we currently use.

Will current vendors in Colleague automatically populate into Workday?

Yes. If it is a vendor that has been used within the past 2 years they should be in Workday.

Are all campus buildings and offices in Workday?

Yes. At this time we are requesting building and office numbers from employees to ensure accuracy.

Will there be a detailed manual for users?

Each area is working on detailed instructions for users.

Will we be able to print a report like PREG?

Yes. You will be able to print from Workday.

Will we accept orders in Workday?

Yes.

Support

Who is THE go to person for HR Workday and Finance Workday issues?

At this time you can send all questions to Workday@hindscc.edu.

Timekeeping

Does your excused document need to be saved as a PDF?

Not necessarily. You can take a picture of it with your phone and upload to Workday if needed.

Is there a way to attach a doctor’s excuse?

Yes. You will be able to upload supporting documents in Workday.

So will we be actually clocking in and out in Workday or will that now be via Kronos in Workday?

All timekeeping – clock in/out, request leave, submit time – will be done in Workday for all employees.

Some employees do not have access to a computer so if Kronos goes away how will they clock in?

This will be addressed before Kronos is decommissioned. Most likely, there will be a laptop in the location where the timeclocks are today. In addition, there are computers in the Media Center and Library that can be used by employees. Employees should also be able to clock in and out using the Workday Mobile app on their smartphone, as long as they are on the campus network.

Where will go to approve out time cards once Work Day starts?

Time cards will be approved in Workday. If you have employees who need time approved, you will receive an item in your Workday Inbox.

With the implementation of Workday, will we be getting rid of Kronos?

Yes.

Do salary employees clock in now? What if you are a nursing instructor and you do clinical hours at the hospital?

All employees will use Workday for entering time.

Employees that clock in and out on a time clock, they can clock in thru workday as long as they are connected to Hinds secure server. is this correct?

All employees will use Workday for entering time.

How do you enter in comp time?

You will enter your comp time in Workday

How soon after clocking out on Kronos will it appear on Workday? In case we need to double check whether we clocked in or out for the day

You will no longer use Kronos. You can check your time in Workday at any time.

If Kronos goes down will we be able to clock in and out in WD

Hinds will no longer use Kronos.

If we add the missed punch in Workday first, will it add it to Kronos?

Hinds will no longer use Kronos.

If, as the supervisor, I add a missed punch in Workday for an employee, do I need to go back and also add it to Kronos as well?

Hinds will no longer use Kronos.

Why will we not be able to eliminate Kronos and have the ability to use Workday and just have one system?

Moving timekeeping to Workday is the long-term plan. However, we are still under contract with Kronos. We will spend time reviewing and refining our timekeeping processes during this time, and will ensure everyone knows how to record their time before we move everything to Workday in the future.

Will we be able to clock in on Kronos if the time does not match your set schedule. For example, it is set where I come in at 8am but one week i’m asked to come in at 7:30. at this time my supervisor has to manually clock me in

You will still need to clock in based on your schedule. Adjustments to that will be made by your supervisor.

Can you go back and add the excuse after you have entered in the time?

Yes.

Training

When will we know if we are active to go and browse the system? I haven’t received an email or notification.

Announcements for training opportunities will be sent via District Digest and Workday.hindscc.edu

Travel

Are all cost centers in Workday?

Yes.

If you go to more than one campus will you have to do seperate travel requests?

No, you will be able to add each campus in one expense report.

Can you cost share travel expenses with multiple cost centers?

Yes.

Do direct deposits go in as soon as our travel is approved?

Even though the process will be quicker, it will still go through AP and most likely take a couple of days to be deposited.

How often should we submit travel?

As soon as you complete a trip you can submit it. You do not need to wait until the end of the month to submit all of your travel for that month.

If you have 2 accounts that your pay check is deposited in can you choose which account you want to have travel deposited?

You will be able to select the account for the travel direct deposit. However, it cannot be split between accounts.

Will each employee need to complete their own travel?

Yes. If you travel you will need to submit reimbursements through your Workday account.

Can you still submit meals without receipts?

Yes as long as it does not exceed $41/day

Will we enter our travel card expenses in Workday?

Details for that process will be discussed later.

How often will reimbursements be distributed?

As often as you submit your requests. Keep in mind processing will take a couple of days up to a week.

If my starting point is not in the list can I enter other locations?

Yes.

What attachments would be required?

You will be able to send pictures of reciepts for reimbursements.
